Edgerton House Bylaws

- Officers are the voting members of the Edgerton House Executive Committee
- Officer Expectations
- Attend all of the officer meetings.
- Attend roughly half of the house events.
- Help out with at least two social events each semester.
- Embark on at least one house improvement project or plan a special event during their term.
- If obligations are not met, officer may be impeached according to article XI of constitution.
- Job Descriptions for Officers
- President
- Manages the activities of the Association.
- Acts as the liaison to other MIT and non-MIT offices and groups.
- Develops meeting agendas.
- Runs officer and house meetings.
- Attends regular house team meetings with the Housemasters, House Manager, Desk Captain, SLP representative, and Chair of Student Advisory Board.
- Acts as a spokesperson for Edgerton in the Institute alcohol and graduate housing policy processes.
- Works with the Treasurer and Social Chairs to submit requests for funding to GSC (Graduate Student Council), LEF (Large Events Funding), ARCADE, Deans funding, and other sources.
- Vice-President
- Acts as GSC representative for Edgerton House and attends GSC General Council meetings.
- Oversees the bi-weekly Edgerton socials.
- Ensures that the officer closet is well maintained and organized.
- Assists President and Social Chairs in the performance of duties.
- Succeeds president in case of impeachment or early resignation.
- Attends the GSC General Council and Housing and Community Affairs meetings.
- Coordinates with External officer to represent Edgerton at GSC.
- External Relations Chair
- Attends the Association of Student Activities meetings.
- Assists the President and Vice-President by attending meetings with external organizations representing Edgerton.
- Keeps the officer board regularly updated with the content of the meetings attended and posting summaries of meetings.
- Treasurer
- Handles all financial matters.
- Prepares the annual budget proposal for approval by the Program Manager assigned to Edgerton House by Student Life Programs.
- Prepares the budgets for event funding proposals.
- Oversees reimbursements for officer expenditures for Edgerton events or capital purchases.
- Keeps an account of house funds.
- Makes budget publicly accessible to house officers.
- Recognizes and communicates the deadlines set forth by the GSC and other funding sources.
- Secretary
- Records minutes of officer meetings.
- Posts minutes no later than 24 hours after meetings.
- Coordinates campus-wide advertising. This includes creating and distributing flyers, posting to events.mit.edu, emailing the appropriate mailing lists, and coordinating with other dorms.
- Keeps residents informed about upcoming events and news.
- Social Chairs
- Organizes an average of one special social event a month for the Edgerton community.
- Delegates tasks related to specific social events to other officers as needed.
- Heads the social sub-committee and recruits volunteers from the Edgerton community to help with events.
- Serves as a representative of the incoming first year students to the officer board.
- Organizes events specifically tailored for first year students.
- Recruits new students to become involved with the house government.
- Organizes orientation activities, this includes:
- Working with the GSC Orientation Committee for orientation activities which take place in the week before the fall semester begins.
- Soliciting help from other officers and residents.
- Preparing an orientation guide for distribution to new students.
- Proposing and organizing orientation events.
- Gym Activities/Athletics Coordinator
- Purchases sports equipment.
- Fields two Intramural (IM) sports each semester. If needed, this can be done in coordination with other residences halls.
- Chairs Intramural (IM) sports sub-committee.
- Select team captains.
- Attends IM meetings.
- Maintains the Edgerton weight room.
- Coordinates with Athletic chair to organize non-intramural sports activities such as running, biking, or weight-lifting.
- Organizes at least one out of town event each semester. This can be hiking, rafting, or any physical activity away from campus.
- Able to lift heaviest free weight in gym.
- Reservations/Resources Officer
- Oversees the reservation of all Edgerton common spaces (Large Lounge, Small Lounge, Courtyard / BBQ pits) and equipment (‘Closet One’ items, video library), including processing of reservation requests, posting of reservation calendar and reservation follow-up (deposit return).
- Works with IT Chair and front desk staff to maintain online reservation system, in support of the above.
- Ensures common spaces are clean and in good repair following a resident’s event; reminds event host if reserved facility is not properly cleaned. Levies fines if reminders are ignored for more than 24 hours.
- Formulates common space usage and reservation policy to be approved by the officer board.
- Acts as liaison for external groups wishing to rent Edgerton equipment.
- Makes sure all Edgerton common areas are clean and functional for residents.
- Purchases items and coordinate maintenance for the Large Lounge, Small Lounge, Courtyard / BBQ pits, Music Room, Laundry Room, & Recycling Rooms.
- Solicits residents’ input for improvement to any and all of these facilities.
- Equipment responsibilities include:
- Large Lounge Entertainment Center & Game Tables
- Small Lounge ‘Closet One’ reservable equipment
- Large Lounge & Music room pianos
- Edgerton dance floor, cart and associated equipment
- Watering of house plants in any of the above facilities
- Acquires new media for the house video library.
- Works with the house staff to coordinate recycling at Edgerton. In practice, this usually involves explaining (with posters, email, etc.) how to recycle, and regularly monitoring the recycling rooms to make sure trash is being sorted properly and the room is being cleaned.
- Works in conjunction with the Reservation Officer to make sure all Edgerton common areas are clean and functional for residents.
- Information Technology Chair
- Responsible for maintenance of house web site.
- Maintains email lists including: eh-announce, eh-events and eh-officers.
- Responsible for the maintenance and updating of the online reservations system.
- Maintains house equipment including:
- Printer: Coordinates billing for printer. Maintains accounting logs for printer usage. Answers residents' questions about connecting to and using the printer. Ensures the printer is in operation. Coordinates repair for printer if necessary.
- Web server: Ensures working condition of the Edgerton web server and installed software such as mailing list software on which eh-announce runs. Working knowledge of Linux system administration required.
- Fax machine: Posts and updates instructions for use. Replaces paper and ink. Coordinates repairs.
- Copier: Answers residents' questions. Replaces paper. (The Copy Technology Center at MIT has a service contract for the copier.)
- Public Windows computer and scanner: Ensures the computer and components are in working condition.
- Wireless network: Maintains the Edgerton wireless network and coordinates upgrades.
- Student Advisory Board
- Chair of Student Advisory Board
- This position is elected by a majority vote of the Student Advisory Board in January.
- If the Chair is elected, the term runs for one year until the following January.
- Expectations include:
- Attend all of the officer board meetings
- Be contact person for Student Advisory Board activities
- Count ballots during Edgerton election
- Bring older resident issues to the officer board meetings.
- Maintain an active group of Fire Marshals
- General Members (at least 3 including the Chair of the Student Advisory Board)
- Possible members (current Edgerton residents, and either former officers or residents who have lived contiguously in Edgerton for three or more years), are identified by the Student Advisory Board on June 1. Members are confirmed by a two-thirds vote of the Executive Committee by June 30.
- The term lasts while residency in Edgerton is maintained or the General Member is removed by impeachment.
- No member of the Board may be a member of the Executive Committee.
- Note the Student Advisory Board are not officers, and do not need to fulfill the officer expectations (e.g. they do not have to attend officer board meeting). Student Advisory Board expectations include:
- February: Administrate fair elections & house survey
- May: Run the Edgerton Transfer Lottery in accordance with the rules set by Housing
- June: Identify new possible members.
- October: Run bike purge in accordance with the House Manager.
- All Year: In the event that an Edgerton resident or affiliate believes there is a serious dereliction of duty of an Executive Committee Member, the resident or affiliate may request that the Student Advisory Board examine the Executive Committee Member’s performance. This request must be a signed, written statement of no less than 250 words, and may include additional documents. If the Student Advisory Board identifies a serious dereliction of duty, they may request a General Meeting to discuss the behavior.
